Introduction to YIK System
Yesterday’s Internal Knowledge. Prismo’s innovation doesn’t just apply to the development and application of road marking products and safety solutions, we also have an innovative stance towards working methods. The company runs on an electronic paperless system, that combines all the daily elements of business into a supremely powerful, yet usable, system that can provide reporting elements for both internal and external parties.
Solution
The YIK system enables flexible and efficient programming of road crews to their full potential and provides both Prismo and clients with information in a timely and consistent manner. Clients can even have access to view the location of road crews at any time, because of the tracker facility built into the system. In addition, 3G technology is used to communicate between the trucks and Prismo offices. The system has an “In Vehicle PC” which talks back to the main computer and YIK can be accessed over the internet, making it available anywhere in the world.
Prismo have up to 85 crews working all over the UK at any one time so YIK provides an important link to enable Prismo to allocate the right resources, in the right location, to project and programme. Applications
In Vehicle PC:
Each vehicle has an “in-vehicle PC”, so that communication is maintained between the office and crews on any issue. The system also allows the crews to load stock on and off the vehicle through batch number entry, ensuring ISO 9001 standards are maintained. Diagrams of road markings can be accessed through this for reference by road crews. The system automatically checks for new jobs every 3 minutes, however the crews can force a manual check, if needed. Prismo also have an internal intranet where all HR, Health and Safety and other policies are maintained, corporate company communications and monthly initiatives can be accessed by crews.
Daily Vehicle checks & Job Allocation:
A “Daily Vehicle Check” in accordance with VOSA requirements is completed and returned electronically for record keeping. The crew cannot start work without completing this. Crews will then receive the job instructions for the day and complete as shown. Tasks to the job can then be assigned as they are completed, and the relevant stock or product used on that day entered into the system. Once all the information has been entered, at the end of the day, the crew return their “Daily Record Sheet” back to the office for issue to clients and into Prismo’s billing system.
The Office System:
As the contracts and jobs are set up in YIK, from there, crews can be issued jobs and efficiently programme manage. In this system, the programmer can instantly see how many crews have been allocated jobs and each morning, the programmer in each depot will allocate crew members to vehicle. Crews that haven’t returned job sheets can be even sent a reminder. Completed job sheets and daily vehicle checks then ensure that the correct work has been done and the vehicles are in the correct working order.
Secure Billing and Accountability:
Prismo can accurately provide clients with daily information on what work has been progressed, current costs and accurate proof of work done and materials used.
